Chapters/Guild Board/Young Professionals - Internship

Position: Chapters/Guild Board/Young Professionals - Internship
Supervisor: Director of Chapters, Guild Board and Young Professionals, Special Event Coordinator for Chapters and Guild Board Activities, Administrative Assistant, Chapters and Guild Board Activities

Time Commitment:
35 hours/week (full-time), or 2-3 full days if only part-time

Season: Summer (May-Sept), Fall (Sept – Dec/February)

In a Lyric Opera chapter, opera lovers of all ages get together to enjoy lectures, musical performances, special events, volunteer opportunities, and each other's company. Each chapter is chartered with the dual purpose of raising money to enhance educational outreach programs and generating support for Lyric Opera of Chicago. Through personal solicitation, Operathon and OperaShop, the Chapters raise $1.5 million annually.

The Guild Board of Directors is a 50 member volunteer group of business professionals. Through special events and personal fundraising, the Guild Board strives to raise $1.5 million annually for Lyric Opera. The major special events are Fantasy of the Opera and Backstage Tours.

Lyric Young Professionals (LYP) is a group of dynamic opera lovers dedicated to building a new generation of supporters for Lyric Opera of Chicago.

Duties and Responsibilities:

Chapter/Chapters’ Executive Board and Guild Board Activities (Ongoing)
• Assist with various mailings and correspondence
• Assist with general office duties (filing, photocopying, etc.)
• Assist with coordinating Chapter Membership materials, with particular attention to Chapter Growth Campaign and quarterly fundraising reports
• Prepare Guild Board fundraising mailings
• Prepare Chapter Officer Manuals
• Prepare CEB and Guild Board directories
• Assist with other areas of Development Office on various projects and activities
• Work on other special projects, as assigned

Season Preview Concert Projects (Summer and Fall)
• Work on invitation mailing
• Collect responses and assist with event attendance data entry
• Assist in preparation of all needed materials (i.e. scripts, forms, programs, etc.)
• Assist with final preparations and set-up of event
• Attend event and assist as needed

OPERATHON Projects (Summer and Fall)
• Assist with merchandise inventory and storage
• Work on OPERATHON publicity mailings
• Assist with preparations for distribution and production
• Assist with event set-up and the day of the event
• Assist with all OPERATHON order fulfillment, including resolving problems and questions
• Assist with other event follow-up (thank you notes, etc.)
• Assist with general merchandise inquiries and orders
• Assist with preparations and implementation of OperaShop

60th Anniversary Gala CEB and GB events (Fall )
• Assist with donor follow-up
• Assist with reservation entry and confirmation process
• Assist with preparation of marketing/PR materials
• Prepare solicitation and thank-you letters
• Attend event and assist as needed
• Assist with proofreading/editing/production of printed material

Backstage Tours (Fall and Winter)
• Assist with processing reservations and data entry
• Assist with sending confirmation letters and making follow-up calls
• Assist with the production of Backstage Tours, providing general assistance on the day of the event

Lyric Young Professionals (Fall and Winter)
• Assist with Quarterly Meeting preparations
• Assist with membership renewals
• Assist with event preparation and various projects

Required Knowledge/Skills:
Successful candidates must be detail oriented, have excellent organizational skills, and be able to handle multiple tasks proficiently. Excellent oral and written communication skills are a must as well as ability to work well with volunteers, and excellent computer skills (Microsoft Word, Excel, database experience).
